Job overview
Summit Oak Financial is recruiting a remote Renewals Coordinator to support customers as their subscriptions and contracts approach renewal. You will help maintain the renewal calendar, contact customers with timely reminders, prepare renewal documentation, update CRM records, and coordinate next steps with account managers, customer success, finance, and legal teams.
This is a customer retention and coordination role. Unlike sales development, which primarily focuses on finding new prospects, or customer support, which typically responds to service issues, renewals work helps existing customers understand the renewal process and complete the next contract period on time. It combines careful administration, professional communication, and consistent follow-up.
New to renewals or customer success? You can still apply
No previous renewals, customer success, account management, or sales experience is required. Paid training covers CRM tools, renewal workflows, customer communication, and routine documentation. A high school diploma or equivalent is required; no college degree or certification is needed.
Employment type and schedule
This is a full-time remote position, typically about 40 hours per week during standard business hours. Workload may increase around quarterly renewal cycles as teams prepare for renewal dates and reporting deadlines. Exact hours, time-zone expectations, and assignment details should be confirmed during the hiring process.
What you'll do
- Monitor upcoming contract and subscription renewal dates and maintain an accurate renewal calendar.
- Reach out to customers ahead of renewal dates with clear reminders, relevant information, and next steps.
- Coordinate renewal activities with account managers and customer success teams.
- Prepare renewal quotes, proposals, and supporting documentation using approved account and pricing information.
- Track renewal opportunities, stages, dates, and follow-up actions in a CRM such as Salesforce, HubSpot, or Gainsight.
- Follow up with customers who have not responded and document outreach consistently.
- Escalate at-risk accounts, potential churn, objections, and unusual customer requests to the appropriate account manager.
- Process renewal paperwork and coordinate contract details with finance and legal teams.
- Answer basic questions about renewal timing, process, and approved pricing information, escalating anything outside your authority.
- Update account records, contact information, contract details, and renewal dates so teams can rely on accurate data.
- Track renewal rate, churn, and expansion indicators and prepare weekly renewal reports.
- Help identify missing information or recurring process issues that could delay renewals.
A typical renewal workflow
Exact procedures vary by team, but a renewal often follows a repeatable cycle:
For example, you may review the next month’s renewal calendar, check the account record, send a reminder, and record the response in the CRM. If the customer needs a quote or contract update, you coordinate with the account manager and relevant internal teams. If the customer is unresponsive or signals that they may not renew, you flag the account for follow-up and include the status in the renewal report.
Required qualifications
- High school diploma or equivalent required; no college degree or certification required.
- Strong written English and a professional, customer-friendly communication style.
- Strong organization, follow-up, and deadline-management skills.
- Comfort using spreadsheets to track renewal stages, dates, and basic metrics.
- Familiarity with Salesforce, HubSpot, or Gainsight, or willingness to learn through paid training.
- Attention to detail when handling contract dates, pricing information, documents, and account records.
- Ability to follow documented workflows, maintain accurate records, and escalate questions appropriately.
- Reliable internet connection and a quiet workspace suitable for full-time remote work.
Preferred qualifications
- Previous customer success, renewals, account management, or customer service experience.
- Familiarity with Salesforce, HubSpot, Gainsight, or another customer relationship management system.
- Exposure to subscription-based services, SaaS businesses, or contract administration.
- Experience preparing quotes, maintaining account records, or producing spreadsheet reports.
- Spanish/English bilingual ability.
- Interest in customer success, account management, sales operations, or revenue operations.
